Travel Privacy Notice

Overview.  Artivion, Inc., and its subsidiaries, including JOTEC GmbH and On-X Life Technologies, Inc. (collectively, “Artivion,” “we,” or “us”), are dedicated to a mission of restoring patients’ health and quality of life by delivering innovative technologies. In pursuit of this mission, Artivion inevitably processes personal data of individuals, including its employees, during the ordinary course of business. We take our obligations to safeguard this personal data seriously. This Privacy Notice explains our approach to processing personal data with respect to non-employee individuals who provide personal data to Artivion’s Travel Department.

What is “personal data?”  “Personal data” means information that you provide to us either directly or indirectly that, either on its own or together with other information, can identify you or make you identifiable. For example, personal data includes your name, your address, your telephone number, and your email address. Information that does not identify you or make you identifiable is not personal data.

How does Artivion process my personal data?  We collect or “process” personal data when you fill out and submit this Travel Request Form either electronically or in paper form, or provide the same information over the phone. The personal data that we collect if you fill out and submit this form includes: your name, employer, mobile phone number, e-mail, data of birth, gender, special travel requests, and frequent traveler reward numbers.

We will only process this personal data for the purposes of (1) providing travel and accommodation price quotes; (2) booking travel reservations for your requested travel; and (3) communicating with you about your anticipated travel, or as otherwise required by applicable law. We will never sell this personal data to any third parties. The legal basis for this processing is your consent.

How long does Artivion store my personal data?  We will only store your personal data for as long as necessary to fulfill the purpose for which we collected your data or, where applicable law permits or requires a longer retention period, for the duration of that retention period. Your data may be stored by us or one of our vendors after your travel is completed in anticipation of future travel. After that, we will delete your personal data to the extent we are permitted to do so under applicable law.

Does Artivion share my personal data with others?  We may share your personal data internally with other Artivion group companies. We may also share your personal data with our vendors who are acting as data processors on our behalf for the purposes described in this Privacy Notice. Any vendor that we retain must follow our data protection requirements, and they are not allowed to use your personal data for any other purpose. We may also share your personal data to comply with a legal obligation.

Will Artivion ever transfer my personal data outside of my country of residence?  We may transfer your personal data to a country outside of your country of residence, including but not limited to the United States. We will only do so, however, if we have determined that the other country’s laws provide an adequate level of data protection or if we have otherwise provided appropriate safeguards, such as entering into an agreement with the recipient that includes appropriate standard data protection clauses.

What rights do I have with respect to my data?  You have certain rights with respect to your personal data where required by law, including for example:

Right of access: You have the right to obtain from us access to your personal data.

Right to rectification: You have the right to obtain from us rectification of inaccurate personal data about you.

Right to erasure or restriction: You could have the right to obtain from us the erasure or restriction of processing of your personal data if, for example, there is no longer a legitimate purpose for processing the personal data and storage of the personal data is no longer required by law.

Right to data portability: You could have the right to receive your personal data in a structured, commonly used, and machine-readable format or to transmit this personal data to another party.

Right to withdraw your consent: You have the right to withdraw your consent, understanding that this withdrawal does not affect the lawfulness of any processing undertaken before you withdrew your consent.

Right to file a complaint: You have a right to file a complaint with the data protection supervising authority.
